Headquarters / Collaborate

Make team knowledge easier to find and share.

Organize Kooya team knowledge with markdown documents, links, files, categories, and controlled sharing in Headquarters.

Knowledge for the people doing the work

Team leads, contributors, and operations staff need a reliable place for instructions, decisions, and reference material. Documentation provides a searchable team knowledge library within Headquarters, with categories and pinned items to help people find useful resources.

Choose a markdown document for knowledge you will maintain in the workspace, a link for an existing resource, or a file for material you want to upload. Give each item a clear title and a description of when it should be used.

Create, organize, and share

Capture the durable knowledge

Turn a resolved discussion into a useful instruction or decision. Add the resource, select its category, and check that the description explains its purpose.

Choose the audience

All private makes an item available to members with documentation view access. Assigned users limits sharing to chosen members. Public provides a share URL that works without login.

Choose editing access

Team sharing can be view only or editable. Assigned members receive their selected access roles. Public markdown documents can also allow anonymous editing when that is deliberately selected.

Keep the library useful

Check the saved item and its intended access, pin important resources where permitted, and update markdown content in the document detail view. Keep titles and categories meaningful as the library grows.

Example: an onboarding runbook

An operations lead writes the setup sequence as a markdown document and shares it with the team for viewing. The lead links to an existing policy and uploads a reference file as separate resources. A sensitive preparation checklist is shared only with the assigned reviewers.

Chat handles questions about the current onboarding, while the runbook keeps the agreed process available for the next person. A board ticket can refer contributors to the relevant knowledge item.

Publishing and permission choices

Documentation requires organization product access and viewing permissions. Creating and managing resources requires the relevant management access; each item also controls who can read, edit, or change sharing.

Publishing a Public item makes its share URL accessible without login. Choose that audience intentionally and confirm the content belongs in it. Uploads depend on configured file storage and supported file limits; external links retain the access requirements of their destination.
